In this blog post, we will learn how to insert data into Excel File Using Power Automate Power Automate makes it simple to automatically add information to an Excel file stored in OneDrive or SharePoint. This guide will show you step by step how to do it.
Steps to Add Data to an Excel File
- Set Up Your Excel File
- Open Excel and create a new file.
- “Create table inside the excel file”- Add column headers like Name, Email, Date, Status.
- Click Insert > Table and Make sure My table has headers is checked.
- Give the table a name (e.g., EmployeeData) or it will give you name like table1, table2 and so on.
- Save the file in OneDrive or SharePoint.
- Create a Flow in Power Automate
- Log in to Power Automate. and Create your flow based on the trigger you want like:
- When a new response is submitted (Microsoft Forms) to collect form data.
- When an item is created (SharePoint) to capture new SharePoint entries.
- or Manually trigger a flow if you want to enter data manually.
For example, I will fill the excel file from SharePoint list items
- Add an Excel Action
- Search for Excel Online (Business), and Choose Add a row into a table.
- Fill in the details:
- Location: Select OneDrive for Business or SharePoint.
- Document Library: Choose where your Excel file is saved.
- File: Browse and select your Excel file.
- Table: Pick the table (e.g., EmployeeData).
- Match the incoming data fields with the correct columns in Excel.

- Test and Save Your Flow
Click Save.
Run a test by triggering the event (e.g., submitting a Microsoft Form response).
Open your Excel file to confirm that the data was added correctly.
With these steps, you can quickly set up a flow to add data to an Excel file automatically using Power Automate. This saves time, reduces mistakes, and makes work easier!
